The Challenge

Improving contract retrieval across shared and individual folders

Link Revenue Resources is a healthcare revenue-cycle management company that uses advanced analytics and a managed network of specialized recovery partners to help hospitals, health systems, and physician groups recover net-new revenue from late-stage A/R and bad-debt accounts that were otherwise deemed uncollectable. Founded in 2010 in San Diego, Link serves 575 acute-care facilities and 6,800 physician groups across all 50 states and managed $12 billion in receivables and generated over $1B in new revenue for its clients.

Compliance coordinates agency agreement oversight in collaboration with Vendor Management, legal counsel, and leadership. After Vendor Management completes its initial agency screening, Diane coordinates the due diligence package, security review, and execution of NDAs, BAAs and MSAs. She also coordinates redline review with legal counsel and leadership, as appropriate, manages updates to contract templates, and obtains updated agreements when needed. Diane maintains the centralized repository of signed agreements and addenda.

Agreements were maintained across shared and individual folders, which made retrieval less efficient. Staff frequently relied on Diane to confirm whether an agency’s BAA was on file, requiring her to locate and verify the agreement each time.

The previous contract tool did not fully address these challenges. It lacked dedicated folders for clients and agencies, and its document types could not be customized to distinguish BAAs from other agreements. Leadership needed a straightforward way to locate contracts without relying on Compliance for routine searches, prompting Diane to explore other platforms.

ContractSafe gives us a central location for signed agreements, organized by client or vendor, so authorized staff can quickly find what they need.

ContractSafe's Solution

A clear centralized folder structure for client and agency contracts, with user-level permissions

Diane looked at a couple of platforms and chose ContractSafe for two reasons: folders with subfolders, and access limited by department. Link Revenue Resources now has 170 contracts in ContractSafe across 111 folders, sorted by document types Diane can add to whenever an agreement doesn't fit the list. The setup saves Diane time and clicks, and it keeps every contract organized for Diane and for each department with access.

I don't want anyone changing a date or deleting a contract by accident. In ContractSafe, I build their folder and set permissions, so department access is configured according to job responsibilities and business needs.

— Diane Williams, Director of Compliance & Privacy Officer, Link Revenue Resources

How ContractSafe lets Link Revenue Resources' staff answer their own contract questions

Eight people have access to ContractSafe. When an owner wants a client's contract, Diane names the folder, and the owner clicks the client, opens the subfolder and finds it. Other staff open a vendor's subfolder to confirm its BAA is on file. Diane is still the heaviest user, but the lookups now sit with the people who need the answer.

Link currently uses ContractSafe’s folders, permissions, custom document types, and AI upload suggestions to support contract organization and retrieval. Additional platform capabilities may support future needs.

  • Folders and subfolders hold every signed NDA, BAA and MSA under the client or agency it belongs to.
  • Folder permissions give vendor management its agency folder and nothing else, so Diane controls who opens what.
  • Custom document types let Diane label each upload as an NDA, BAA, service agreement, addendum, Appendix A or Appendix B, and any missing type gets added.
  • ContractSafe AI suggests values like a 'fully executed' status on upload, and Diane accepts or skips each one.

Our staff used to have to rely on Compliance to locate and confirm agreements. Now, authorized users find the vendor in ContractSafe and check for themselves.

About ContractSafe

ContractSafe covers the whole contract lifecycle, from intake and approvals to e-signature, deadline alerts and reminders, reporting and AI extraction, with the complete set on the Maximize plan. Custom intake forms feed templates that populate a first draft, comments with user tagging and approval sequences carry it through review, and ContractSafe eSign or the DocuSign integration collects signatures. Quick fixes happen with in-app editing, and bigger edits open in Word Online or desktop Word for changes and comments, then save back to ContractSafe as the updated version. Every plan includes unlimited users, onboarding and document migration with no implementation fee.

BAA checks by the people who need them

Staff with access pull up an agency's BAA in its ContractSafe subfolder. People with permissions can access agency BAAs themselves, and can ask Compliance if they have further questions.

Client contracts within the owners' reach

ContractSafe gives leadership a clear path to locate agreements by client name, subfolder.

Vendor management's agency folder, compliance in control

ContractSafe folder permissions open only the agency folder and its subfolders to vendor management. Diane sets that access department by department, and the company's other agreements stay out of that team's view.

Everything for one client or agency, together

ContractSafe brings agreements previously maintained across shared and individual folders into a central repository organized by client or agency.

BAAs and appendices labeled for what they are

In place of a generic 'agreement' label, ContractSafe lets Diane create a type for any document that doesn't fit, and it's in the drop-down from then on.
