How Synergie Medication Collective Skipped the Enterprise CLM and Made Contract Search Self-Service

 

The Challenge

Outgrowing SharePoint and an amendment spreadsheet at a fast-growing health care contracting organization


Synergie Medication Collective is a Clearwater, Florida-based medication contracting organization founded by a group of Blue Cross and Blue Shield-affiliated companies. Launched in 2023, Synergie negotiates with pharmaceutical manufacturers on behalf of 14 participating health plans to improve affordability and access to costly medical benefit drugs, including treatments for sickle cell disease, cancer, and gene therapies for children with life-threatening conditions. Rebecca Dockum, Synergie’s Trade Contract Manager, owns the contract lifecycle for the agreements that drive those rebates.

Synergie has grown quickly. When Dockum joined nearly two years ago, the organization had around 22 employees. It now has 52. The contracts function, however, is still a team of one. Dockum is the sole contract manager, responsible for every agreement, amendment, and confidentiality document with the manufacturers whose medications Synergie covers.

When Dockum arrived, the entire contracts operation lived in SharePoint folders, paired with an Excel spreadsheet that tried to track every amendment and what it covered. She inherited the spreadsheet half-finished from a predecessor and spent her first few months completing it. The system worked, technically, but Dockum had spent 20 years at McKesson Medical-Surgical using Conga and knew Synergie was leaving real value on the table.

When Dockum raised the issue with her executive sponsor, the answer came back quickly: vet the options and pick something. Dockum evaluated multiple CLMs, including the enterprise platform her executive already knew from a previous role. She concluded that an enterprise system would over-engineer the function for an organization of Synergie’s size and stage. The selection criteria were specific. Synergie needed a CLM that absorbed an entire SharePoint repository of digital contracts and amendments, supported AI-assisted search and extraction, and was approachable enough that someone in invoicing or accounting could pull payment terms or payment language without learning a new system. Enterprise platforms had the features. They didn’t have the accessibility.

The deadline alert system serves a specific purpose at Synergie that doesn’t apply at most other organizations: continuity of care. Synergie wants its manufacturer agreements to auto-renew. The patients depending on those medications, often children on gene therapy or adults with managed diseases, cannot afford gaps in coverage caused by lapsed contracts. The alerts give Dockum and her team a six-month runway to confirm auto-renewal happens cleanly, every time.
