Why customers love us
Procurement’s favorite features & benefits
Plain-English search
Ask for a vendor contract the way you’d ask a colleague. AI search only returns contracts the user is allowed to see.
Reminders for anyone
Send date reminders to budget owners, outside counsel or a vendor contact. Recipients don’t need a login, and the contract rides along as an attachment.
One system, three teams
Unlimited users on every plan. Finance, legal and procurement work from the same record, with access set by folder, tag and group.
Intake and approvals
Route new vendor contracts through approval sequences on Finalize and Maximize. Intake forms and templates come with Maximize.
Reports on a schedule
Schedule a next-quarter renewal report to the CFO once, and it keeps arriving. No spreadsheet to rebuild.
No implementation project
Onboarding, migration and a dedicated customer success manager are included on every plan, with no implementation fee.
Learn more about procurement contract management software
ContractSafe gives the team that owns vendor contracts intake, approvals, e-signature, storage, renewal alerts and reporting in one system. The complete set is on Maximize.
One System Finance, Legal and Procurement Share
Procurement owns the vendor relationship, finance owns the budget and legal owns the terms. In ContractSafe they all work from the same contract record, and every plan includes unlimited users, so nobody waits for a seat. See how roles and sharing work.
- Set access by folder and tag, then manage it with permission groups, teams and user-level settings.
- Custom roles set what each person can do with the contracts they can open, so procurement keeps control.
- Permissions apply to the whole contract. ContractSafe doesn’t have field-level permissions, so anyone who can open a contract sees all of its fields.
- AI search only returns contracts the user is allowed to see.
Vendor Intake and Approvals
Get vendor contracts requested, reviewed and signed in ContractSafe instead of over email. What’s included depends on the plan.
- Finalize and Maximize: approval sequences set who reviews a contract and when. Pending approvers get an email reminder every three days, and a rejection stops the process and notifies the requester, with the reasons kept on the record.
- Finalize and Maximize: comments with user tagging, and unlimited native e-signature. Vendors sign from the emailed request without a ContractSafe account.
- Maximize: custom intake forms let anyone request a contract, and templates populate a first draft from the answers. Template owners can lock wording and require fields.
- Every plan: in-app editing with automatic versioning.
Vendor Renewal Reporting
When the CFO asks what’s renewing next quarter, the answer is already in their inbox. Date tracking and reports run on every plan.
- Set up reports to be emailed automatically to any address, on the schedule you choose.
- Custom dashboards and saved views for each user, plus a calendar of every upcoming date.
- Export custom reports to .xls or .csv, or generate a one-click summary of a contract’s key terms.
- Custom fields track what procurement cares about, like vendor owner, spend category or notice period.
- On Maximize, a lifecycle dashboard shows where each contract sits and how long each stage takes.
ContractSafe or a Source-to-Pay Suite?
ContractSafe is full-lifecycle contract management. It isn’t a source-to-pay suite, and it doesn’t run sourcing events, purchase orders, invoices or supplier portals. If you need those, you need a suite. If your job is the vendor contracts themselves, here’s how the two compare.
| Job | ContractSafe | Source-to-pay suite |
|---|---|---|
| Sourcing events, RFPs and supplier bids | No | Core job |
| Purchase orders, invoices and payments | No | Core job |
| Supplier portal and supplier onboarding | No | Core job |
| Vendor contract intake and approvals | Approvals on Finalize and Maximize; intake forms and templates on Maximize | Varies by suite |
| E-signature | Unlimited native e-signature on Finalize and Maximize | Varies by suite |
| Renewal and notice-date reminders | Every plan; alerts go to any email address, users or not | Varies by suite |
| Scheduled renewal reports by email | Every plan | Varies by suite |
| NetSuite, QuickBooks and HubSpot | Through Zapier on Finalize and Maximize; no native integration | Varies by suite |
| Users | Unlimited on every plan | Varies by license |
| Pricing and setup | Published pricing starting at $450/month; onboarding and migration included, no implementation fee | Varies by vendor |

Procurement contract management FAQ
Straight answers to the questions procurement teams ask before they switch.
Do vendors need a ContractSafe login?
No. On Finalize and Maximize, vendors sign from the emailed request with no account, download or plug-in. Anyone can also receive a date reminder without being a user. ContractSafe doesn’t include a supplier portal.
Can ContractSafe remind the budget owner?
Yes. Any date reminder can go to anyone, including a budget owner who never logs in. Reminders belong to the contract, so they keep firing when someone changes roles, and you can reassign a person’s reminders in one click.
Does ContractSafe replace Coupa or SAP Ariba?
No. Coupa and SAP Ariba are source-to-pay suites that run sourcing, purchase orders and invoices, and ContractSafe doesn’t do those. ContractSafe is full-lifecycle contract management for teams that own vendor contracts without a suite: intake, approvals, e-signature, storage, renewal alerts and reporting. The complete set is on Maximize.
Does ContractSafe integrate with NetSuite or QuickBooks?
Through Zapier. ContractSafe connects to NetSuite, QuickBooks and HubSpot through its Zapier integration on Finalize and Maximize. There’s no native integration with them. Salesforce and API access are on Maximize.
Can we hide contract values from some users?
Not field by field. Access is set per contract by folder, tag, user and group, so you can keep pricing schedules in a folder only finance and procurement can open. Anyone who can open a contract sees all of its fields.
How much does ContractSafe cost for a procurement team?
Pricing starts at $450/month on the Organize plan, billed annually ($540 month-to-month), with unlimited users on every plan. Price depends on plan and contract volume, not headcount. Onboarding, migration and support are included.
